At a glance

The challenge
A commercial real-estate firm ran a document- and party-heavy deal lifecycle on Excel and email, with no system of record and no reliable foundation for the AI it wanted.
What we built
A governed Dataverse data foundation plus an external Power Pages portal, sequenced so each stage delivered value before the AI layer went on top.
The outcome
The deal lifecycle now runs on a governed platform instead of spreadsheets, external parties collaborate in a portal, and the firm has an AI-ready foundation to build on.

01

The challenge

The firm's product was the transaction, and the transaction lived in spreadsheets and email. Deals, documents, and external counterparties were tracked across tabs and inboxes, with no single system of record. The firm wanted AI — but AI on top of that chaos would only have produced faster chaos.
02

Foundation first

We sold the destination and sequenced the foundation. A governed Dataverse data core became the single source of truth for the deal lifecycle, structured deliberately with the eventual AI layer in mind — what agents would need to read, what Copilot should be able to answer, and what had to stay access-controlled.
03

A portal for external parties

Counterparties, brokers, and clients moved out of attachment email and into a secure Power Pages portal — access-controlled, auditable, and genuinely easier than the thread it replaced. The portal became the front end of the data foundation underneath.
04

AI-ready by design

With the lifecycle finally living in structured, governed data, the firm has a foundation that AI can actually work on — the difference between an AI ambition and an AI roadmap. The platform is built to carry Copilot and agents when the firm is ready for them.

Common questions

Why build a data foundation before adding AI?

Because AI grounded in spreadsheets and email produces confident answers from incomplete information. Structuring the deal lifecycle in a governed Dataverse foundation first gives Copilot and agents data they can actually trust — which is what makes the AI useful rather than risky.

Can external counterparties really work in a portal instead of email?

Yes, when the portal is genuinely easier than the email thread it replaces — which is a design requirement here, not an afterthought. Uploading to a secure workspace with visible status beats attachment archaeology for the counterparty too.
