The challenge

The association's entire operation ran on a legacy association management system. Every renewal brought a higher bill, the product roadmap served the vendor's priorities rather than the association's, and the member data — the organization's crown jewels — lived behind a proprietary API the team couldn't fully reach.

Why Dynamics, not another AMS

Switching to another AMS would have traded one wrapper for another. Rebuilding the membership capability on Dynamics 365 put it on a platform the association owns, inside Microsoft licensing it can control, with a whole ecosystem of tooling and talent behind it — the difference between renting capability and owning it.

The migration

The part that deserved the most respect was the data. Years of member records, history, and integrations were mapped and validated before cutover, with the incumbent kept running in parallel until the replacement had proven itself against the real workload. Careful sequencing is what turns a high-stakes replacement into a controlled one.

The outcome

The association now owns the platform its membership runs on, can finally report on and extend its own data, and has shed the renewal treadmill and growth penalties of the old AMS. Ownership of the platform, the data, and the roadmap moved back to the association.
